Your first hire, and your first HR paperwork

Nobody hands owners a checklist for the first employee. You learn it as you go.

Forms you've never filled

The offer letter, Form I-9, Form W-4, the state's new-hire report: each has its own form and its own deadline.

It all lives in your inbox

The signed offer is an attachment in an email thread, the I-9 is in a drawer, and nothing says what's done.

Miss a date, pay a fine

Section 2 of Form I-9 is due within 3 business days of the first day, and federal fines for I-9 paperwork are counted per person.

Set up your first hire in three steps

Setup takes one afternoon, once. Every hire after that starts from the same plan.

  1. 1Fill in your company profileYour state, industry and size shape what AI suggests, and what it checks before anything goes out.
  2. 2Send the offer letterInvite your new hire by email and send the offer for signature. You both sign online.
  3. 3Plan their first weeksStart from a template or let AI suggest the steps. Your new hire sees the list when they sign in.

A note from the founder
Your first hire is a big day. It's also the day you become an employer, and nobody hands you the list: an offer to sign, two forms with deadlines, a report to your state. Nobody handed me one either. So FirstHR puts that list in front of you with every date on it, and the first week can be about the person, not the forms. Then save that week as a plan. Hire number two starts from it, not from a blank page.
