Everyone's file in one list, with the ones that need attention marked. Open a person to see each document by category, with its status.
An expired license puts its owner on Needs Attention
Give licenses and certificates an expiry date. When one passes it, the document shows Expired and the person moves to Needs Attention on the list.
You decide which documents they can see
Keep a document Admin Only, or make it Available to All so it shows in their My Docs. You can switch it at any time.
They see their own file in their portal
Every document you make Available to All shows in their My Docs, with its status and a download button. Admin Only ones stay with you.
