Most sales operations assistant job descriptions you can copy online are written for a company with a revenue operations department, a defined career ladder, and someone in HR to classify the role properly. If you are a small business with four reps and a CRM that nobody trusts anymore, that posting describes a job you are not hiring for.

The gap matters more than it looks. The generic version borrows its language from senior sales operations roles, which pulls in candidates expecting analysis work, and it stays quiet on the one thing that will cost you money if you get it wrong: this is an hourly, overtime-eligible job, and paying a salary does not change that.

What the Role Actually Does

A sales operations assistant handles the recurring administrative and data work behind a sales team: CRM upkeep, quotes, order processing, and the reports leadership reads every week. It is an execution role. The person makes sure the numbers are right, not what the numbers mean.

That distinction is the whole job. Sales operations as a function covers forecasting, territory design, quota setting, and compensation planning, and the assistant tier touches none of those as an owner. It supplies the clean, verified inputs that make the rest of it possible.

The work is more valuable than the title suggests. A rep who spends five hours a week on data entry and quote assembly is losing an eighth of their selling capacity, and across a four-person team that is most of a full-time job already being done, just badly and by the most expensive people available.

Assistant, Coordinator, or Analyst

These three titles describe a genuine progression, not interchangeable labels: the assistant executes the process, the coordinator owns a defined piece of it, and the analyst interprets it. Getting the level right before you write the posting saves you from hiring an analyst to do data entry, or an assistant to build your forecast.

Pick the Level Before You Pick the Title
The fastest way to choose is to ask what happens when the person finds something wrong. If they fix the record and move on, that is an assistant. If they own the rule that stopped the record from being wrong next time, that is a coordinator. If they tell leadership what the pattern of wrong records means for the forecast, that is an analyst. Pay, classification, and the kind of candidate you attract all follow from that answer, so make it before you write a word of the posting.

Why the Role Is Almost Always Non-Exempt

A sales operations assistant is non-exempt in nearly every case: hourly, and owed overtime past forty hours in a week. The reason is the duties test, not the pay. The administrative exemption requires a primary duty involving the exercise of discretion and independent judgment with respect to matters of significance, and routine data work does not qualify.

The controlling regulation on discretion and independent judgment is unusually direct about it. The phrase excludes clerical or secretarial work, recording or tabulating data, and other mechanical, repetitive, recurrent or routine work, and it must be more than skill in applying well-established techniques, procedures or specific standards described in manuals or other sources. The Department of Labor summarizes the full test in Fact Sheet 17C.

Routine data work fails the exemption test
The administrative exemption requires a primary duty involving the exercise of discretion and independent judgment with respect to matters of significance. The federal regulation defining that phrase excludes clerical or secretarial work, recording or tabulating data, and other mechanical, repetitive, recurrent or routine work, and it states that discretion must be more than skill in applying well-established techniques, procedures or specific standards described in manuals or other sources. It also gives a warning that reads as if it were written for this job: an employee who simply tabulates data is not exempt even if labeled a statistician. Maintaining a CRM, running a saved report, and quoting from an approved price list are the textbook examples of the work the regulation puts outside the exemption. A salary does not create an exemption
Paying someone a salary satisfies at most one of the two tests, and the salary test alone is never enough. The federal salary floor for the executive, administrative and professional exemptions is $684 per week, which works out to $35,568 per year, and the highly compensated employee threshold is $107,432 in total annual compensation. Those are the 2019 levels: the 2024 rule that would have raised them was vacated by a federal court in Texas in November 2024 and formally rescinded by the Department of Labor effective May 15, 2026. A sales operations assistant paid $48,000 on salary clears nothing, because the number is below the floor and the duties would fail the test even if it were not. Bonuses change the overtime rate
This is the trap specific to sales support roles. If your non-exempt sales operations assistant receives a nondiscretionary bonus, a team commission share, or a quarterly incentive tied to results, Department of Labor rules require that money to be included in the regular rate used to calculate overtime. Paying overtime at one and one half times the base hourly rate alone understates what is owed, and because the bonus is usually paid after the period it covers, the correction has to be spread back across the weeks that earned it and paid as a retroactive overtime adjustment. Small teams almost always miss this, and it compounds quietly across every overtime hour in the period. Quarter end is when the hours appear
Sales operations work is not evenly distributed. Month end, quarter end, and the run-up to a forecast meeting concentrate the data cleanup, the order entry, and the reporting into a few days, and that is exactly when a non-exempt assistant quietly works past forty hours. Under the Department of Labor rules on hours worked, time an employer suffers or permits to be worked counts, so an evening spent fixing deal stages before a board report is compensable whether or not anyone asked for it and whether or not it was recorded. The cheapest fix is the boring one: require hours to be logged, tell the person explicitly that off-the-clock cleanup is not wanted, and plan the calendar so the spike is staffed rather than absorbed.
